Context of the mandate
École de musique Résonances (until recently known as Éveil musical du Québec) is a non-profit and charitable organization whose mission is to provide accessible music lessons to members of the Mercier–Hochelaga-Maisonneuve community. Each year, we offer nearly 150 students the opportunity to take music lessons at a significantly reduced cost — or even for free. We are deeply committed to offering students a warm and supportive space where they can grow and thrive. Our caring team is dedicated to helping them reach their full artistic and human potential. We prioritize teaching methods that are adapted to each student's needs and learning pace. // We are looking for a Secretary to join our Board of Directors this fall 2026! The Secretary’s role can involve a variety of tasks. First and foremost, each Board member participates in online meetings held every six weeks. During these meetings, the organization’s overall direction and priorities are discussed and decided upon, always in keeping with our mission. New Board members will be elected at our 2026 Annual General Meeting (AGM), which will take place on Sunday, November 15, 2026, from 1:00 p.m. to 3:00 p.m. Participation will be possible either in person or online, as the meeting will be held in a hybrid format. If you are interested in the Secretary position, please contact us in advance. Anyone who would like to give back to the community is welcome! Please don’t hesitate to email us if you have any questions.
Tasks
The main responsibilities of the Secretary include: Meeting coordination: Polling Board members to identify common availability and scheduling Board meetings (every six weeks on Zoom). Meeting invitations and reminders: Sending invitations at least two weeks in advance and providing a reminder the day before each meeting. Access management: Ensuring that all Board members have access to the shared Google Drive folder. Note-taking and minutes: Taking notes (potentially with the help of an AI tool) and reviewing the meeting minutes after each meeting. Archiving and follow-up: Uploading the minutes from each meeting to the Board’s Google Drive folder and sharing the link with members after each meeting.
