Position Summary
As the Event Coordinator, you will be responsible for planning, organizing, and executing events that support Welfare Avenue’s mission. You will work closely with various departments to ensure events are well-funded, adequately staffed, and effectively promoted. Your role will be crucial in engaging the community, raising awareness, and generating support for our initiatives.
Event Planning
- Develop and manage a comprehensive event calendar that aligns with Welfare Avenue’s goals and objectives;
- Plan and execute events from inception to completion, including but not limited to fundraisers, community outreach events, and awareness campaigns;
- Create detailed event proposals and budgets, outlining all aspects of the event including timelines, venues, suppliers, and staffing requirements;
- Ensure all necessary permits, insurance, and licenses are obtained for events.
Resource, Personnel, & Team Coordinating
- Source and manage event resources, including venues, equipment, catering, and supplies;
- Recruit, train, and manage event staff and volunteers, ensuring they are well-prepared and understand their roles and responsibilities;
- Coordinate with fundraising and partnership coordinators to ensure events are well-funded and have adequate sponsorship and representation;
- Ensure the necessary number of volunteers are recruited for events, collaborating with the operations department as needed;
- Assign and oversee tasks for volunteers during events to ensure smooth operations;
- Provide all necessary information for event promotion to the marketing team and contribute to promotional efforts when required.
Monitoring and Evaluation
- Monitor and evaluate the success of each event, collecting feedback from participants, volunteers, and stakeholders;
- Analyze event data to identify areas for improvement and make recommendations for future events;
- Prepare detailed post-event reports summarizing outcomes, feedback, and lessons learned.
Requirements & Qualifications
- Currently enrolled in or a graduate of a CEGEP or university program in Event Management, Hospitality, Marketing, Communications, or a related field;
- Proven experience in event planning and coordination, preferably within a non-profit or community-based organization;
- Strong organizational skills with the ability to manage multiple events and tasks simultaneously;
- Excellent communication and interpersonal skills, with the ability to engage and motivate staff, volunteers, and participants;
- Proficiency in event management software and tools;
- Ability to work both independently and as part of a team in a dynamic, fast-paced environment;
- High level of initiative, creativity, and problem-solving skills;
- Flexibility to work evenings and weekends as required for events;
- A strong commitment to social justice and the mission of Welfare Avenue.
