The Théâtre Lyrichorégra 20 aims to promote classical music and dance to the general public and to support musicians and opera artists. Its main mission is to increase appreciation and awareness of opera among the general public, both young and old, to encourage and promote emerging artists from here and abroad, to foster international exchanges between artists, and to support young singers who wish to embark on an international career. MAIN RESPONSIBILITIES Reporting to the board of directors and working with the team of volunteers, the administrative assistant actively supports the day-to-day activities of Théâtre Lyrichorégra 20. He/she provides support in the management of daily tasks, participates in administrative organization, takes part in the coordination and/or logistics of artistic projects, in particular the international opera program Les Jeunes ambassadeurs lyriques, and contributes significantly to the reception and mobilization of the public, volunteers, artists, and other stakeholders. He/she plays a key role in internal and external communications, file tracking, and document preparation, thereby contributing to the smooth running of the organization’s administrative operations and the promotion of its artistic activities. POSSIBLE TASKS : Administrative support and coordination Production support for the coordination of artistic activities Reception and representation Performing any other related tasks as required by Théâtre Lyrichorégra 20. Positions type: Remote volunteer Schedules and hours : Several hours per week, flexible schedule, to be determined according to availability. Candidates may be asked to work more at specific times depending on deadlines (ad submission dates, print deliverables, etc.).
Created in 1994, Jeunes Ambassadeurs Lyriques is a professional integration program for young opera singers seeking an international career. Since its inception, the program has supported and launched the careers of hundreds of artists, many of whom now sing on the world’s greatest opera stages.
Depending on his or her interests, availability, and skills, the administrative assistant may be called upon to perform several of the following responsibilities.
• Managing emails and correspondence and following up by phone.
• Supporting board members in organizing and planning administrative activities.
• Participating in the planning of events and meetings (drafting agendas, preparing documents, taking notes, following up).
• Effectively managing and maintaining a filing system and keeping records up to date (digital and paper).
• Drafting and formatting various administrative documents, emails, official letters, reports, and various communications in French and English.
• Contributing to the updating of databases (partners, sponsors, artists, donors).
• Proposing and implementing effective administrative procedures.
Financial support
• Produce certain invoices and follow up on payments.
• Assist in compiling accounting documents (invoices, receipts, deposits).
• Contribute to the budgetary monitoring of certain projects (as needed).
• Support the drafting of funding applications or reports to the private sector.
• Collaborate in fundraising activities
• Participation in the preparation of grant applications, reports, and presentations.
• Participate in the logistical coordination of auditions, concerts, fundraising events, tours, cultural mediation, or professional development activities (venue rental, catering, transportation, accommodation, food service, photo and video capture, printing, ticketing, etc.).
• Collaborate in the organization of rehearsals or other initiatives on the artistic calendar.
• Drafting, reviewing, or following up on contracts.
• Managing certain correspondence with artists and opera house management and other invited representatives from the opera world (artistic program, rehearsal schedule, international committee schedule, etc.).
• Supporting the recruitment and coordination of volunteer teams as needed.
Communication, promotion, and dissemination
• Updating communication tools (e.g., website, social media, etc.).
• Participating in the drafting or proofreading of promotional content (FR/EN).
• Assisting in the distribution of newsletters, invitations, and public announcements.
• Participating in the coordination of the production and distribution of promotional materials.
• Supporting the coordination of communication activities with artists, partners, institutions, and the general public.
• Collaborating in measuring the impact of communication actions and proposing improvements.
• Welcoming the public during concerts
• Responsible for informing the public about the activities of Théâtre Lyrichorégra 20.
• Promoting the activities of Théâtre Lyrichorégra 20 to the general public, local institutions, and partners.
• Experience or training in administration, secretarial work, communications, or a related field.
• Knowledge of or interest in the performing arts, classical music, and opera.
• Strong sense of responsibility, reliability, autonomy, and initiative.
• Keen sense of planning, organization, rigor, and attention to detail.
• Ability to prioritize and work under pressure with tight deadlines.
• Diplomacy, discretion, excellent interpersonal skills, and people skills.
• Very good knowledge of office and digital tools (Google Suite, Word, Excel).
• Access to a computer with Office and Google Suite.
• Bilingualism (English and French) in writing and speaking.
Assets
• Knowledge of Mailchimp, Canva, WordPress, or other communication tools.
• Experience in social media management and engagement.
• Work or volunteer experience in a cultural or community organization.
• Familiarity with grant processes or philanthropy.
